Privacy Policy

This Privacy Policy describes how Saarthee Fleet Manager ("we," "us"), software licensed by Saaniya Software LLC, collects, uses, and protects information when you use our fleet management platform at fleet.nasneeraj.com.

Saarthee Fleet Manager is software only — it is not Saarthee Ride LLC or a transportation provider. Business names displayed on customer booking pages are set by each independent operator using the Service.

1. Who This Policy Applies To

  • Providers — drivers and fleet managers who create an account to manage rides, vehicles, and customer requests
  • Customers — passengers who submit ride requests on a provider's public booking page (no account required)
  • Visitors — anyone browsing our marketing or legal pages

2. Information We Collect

Provider account information

When you sign up via Clerk, we receive your Clerk user ID, email address, and display name (if provided). This is stored in our database for authentication and account management.

Operational data (providers)

Data you enter into the Service, including rides, customers, expenses, financial ledger entries, fleet vehicles, rental bookings, iCal feed URLs, booking page settings (slug, business name, payment details), QR payment images, fleet documents and receipt uploads, sales tax settings, and customer ride requests (including operator-created quotes) assigned to your account.

Customer booking data (public forms)

When a passenger uses a provider's booking link (/book/your-code), we collect the information they submit: name, email, phone (optional), trip date/time, pickup and drop-off addresses, passenger count, baggage, booster seats, vehicle preference, and notes. This is linked to the provider who owns that booking page.

Location and address data

Pickup and drop-off addresses are stored as text you or your customers enter. If Google Maps is enabled, address suggestions are processed by Google according to Google's Privacy Policy. We do not continuously track device location by default. When a host enables the optional Live trip map add-on and a driver starts a trip, approximate GPS coordinates from the driver's device may be shared with the guest on the tracking page for that trip only. Hosts supply their own Google Maps API key for map tiles; they are the data controller for location shared with their guests and should obtain consent where required.

Technical data

Our host (Vercel) may log IP address, browser type, and request timestamps for security and performance. We do not use third-party advertising trackers.

3. How We Use Information

  • Provide the Service — quoting, scheduling, customer requests, invoices, finance ledger, documents, rental calendar sync
  • Authenticate providers and enforce roles (host vs. superadmin)
  • Display provider booking pages and customer request tracking links
  • Calculate trip distance and duration when Google Maps is configured
  • Optionally display live trip location on guest tracking pages when the host enables Live trip map and a driver shares GPS during an in-progress trip
  • Send transactional emails (quotes, status updates) and optional messaging when enabled
  • Power optional in-app assistance (rule-based help and optional AI responses when configured)
  • Respond to support requests and prevent abuse
  • Improve reliability and security

We do not sell personal information or operational data to third parties.

4. Data Storage and Processors

  • Neon Postgres — operational data and metadata (US region)
  • Clerk — provider authentication
  • Vercel — hosting and serverless functions
  • Vercel Blob — QR codes, document uploads, and ledger receipt files hosted on Saarthee storage
  • Google Maps Platform — address autocomplete and distance (when enabled)
  • Google Drive — optional; when you connect Drive, files you choose to store there use your Google account under Google's terms (scope limited to files the app creates)
  • Resend — transactional email delivery (when configured)
  • Vonage / WhatsApp — optional messaging when you enable it
  • AI provider (optional) — when Fleet Assistant LLM is enabled, prompts may be sent to the configured model API to answer operator questions

These providers process data on our behalf (or, for Google Drive, on your own Google account) under their respective privacy policies and data processing terms.

5. Data Isolation

Each provider account can access only their own rides, customers, vehicles, expenses, ledger, documents, rental data, and customer requests. Data is scoped by provider user ID (or organization tenant where applicable) in the database.

6. Superadmin Access

Platform administrators may access tenant metadata (email, account status) for support and abuse prevention. Administrative actions are logged. Superadmins do not routinely access operational ride or financial details except when required for support with your consent or a legal obligation.

7. Data Retention

We retain data while your provider account is active. Customer ride requests are retained as part of the provider's business records. Upon account deletion request, we will delete or anonymize personal data within a reasonable period, except where retention is required by law.

8. Your Rights

Providers may:

  • Access and export data via in-app CSV export (including finance exports where available)
  • Update account information through Clerk
  • Permanently delete certain records you control in-app (rides, customers, ledger entries, documents) — deletions cannot be undone by Saaniya Software LLC
  • Request account-level deletion by contacting us
  • Disconnect Google Drive in the Documents tab if connected

Customers who submitted a booking request may contact the provider directly or us to request correction or deletion of their submission where applicable.

If you are in the EU/EEA or other jurisdictions with privacy rights, you may have additional rights (access, rectification, erasure, restriction, portability). Contact us to exercise these rights.

9. Security and cyber risk

We use HTTPS encryption, authenticated API routes for provider data, and scoped database access. Public booking pages do not expose provider account credentials. No method of transmission or storage is 100% secure.

Saaniya Software LLC is not responsible for unauthorized access, data breach, ransomware, data loss, or business interruption arising from use of the Service, third-party outages, or compromise of your credentials or devices. Operators should maintain appropriate cyber liability and data security practices for passenger information they control. See our Disclaimer and Terms.

10. Cookies

Clerk uses cookies for provider authentication sessions. Google Maps may set cookies when address autocomplete is used. We do not use advertising cookies. Disabling cookies may prevent sign-in or address suggestions.

11. Children

The Service is not intended for users under 18. We do not knowingly collect information from children.

12. Changes

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. Continued use after changes constitutes acceptance.
